Before starting to use invoices in OZIAgent. It is important to note that there are two types of invoices. They are: General Invocies. Commission Invoices. Each of these types are also divided into subtypes. General Invoices This is the type of invoice that is created for the service provided to the client or the Partner. That does not include the commission. There are two types of general invoices. They are: Client General Invoice Partner General Invoice Commission Invoices This is the type of invoice that is created to claim the commission amount from your agent or partner. The commission percentage is determined in the Partner and Agent’s contract details. There are two sub-categories of types of general invoices. They are: Gross Claim Invoice Net Claim Inovice All of these invoices can be created from the accounts tab from the client’s detail page or the invoices page in the accounts tab from the side navigation bar.

Invoicing is crucial for all business because invoices are the business documents that enable companies to get paid for their services. An invoice provides you with a record of sales. It offers verification of the paymnet agreement between you and your clients. Invoicing helps you with maintaining records, tracking payments, legal protection, keeping tax records and business analytics. In OZIAgent, having an invoice maker is a great help. It means users can create invoices without leaving the platform. This makes invoicing simpler for businesses using OZIAgent. It’s easy to customize and keeps everything organized. OZIAgent makes invoicing a breeze for its users.
Creating Client General Invoice

Client General Invoice is created for the services that you have provided to your clients, such as English classes or Visa applications. Step 1: Select Accounts from the side navigation bar and then select Invoices. Step 2: Select Create Invoice. Step 3: Select General Invoice from the dropdown. Step 4: Select the client invoice in the pop-up form. Step 5: Select the client and the service workflow. Step 6: Then select Create Invoice. Step 7: You will land on the form to fill in the information regarding your general invoice. Step 8: Choose the invoice date, which is the date of creation of the invoice. Step 9: Choose the invoice due date, which is the date for the invoice to be paid. Step 10: Select the currency of the Invoice. Step 11: Fill in the details such as Visa Application Fee in the table of the description. Step 12: Select the Income Type, which is either income or payable. Step 13: Similarly, add the amount and select the tax code. The tax amount and the total amount will be calculated automatically. Step 14: You can select the payment option that will be included in the invoice. Please Note: The payment details are added from the account settings. To learn how to add the payment details, follow the following link: Step 15: On Payment detail, you can click on the checkbox of “Mark this invoice as paid” if the invoice is a paid invoice. Please Note: Once you mark the invoice as paid, the total amount of the invoice is auto-filled in the payment received section. If the payment is made partially, you can add the partial amount as well to denote that a partial amount of this invoice has been paid by the client. Step 16: The income-sharing part allows you to share the income amount with a receiver, which is either another branch or a subagent. Step 17: After filling out all the details, click on Save or Save and Send.

A Gross Commission Invoice is made when the full amount is paid to the partners by the client, and the partners pay the commission amount to you. Let’s go through the process step by step. Step 1: Select Accounts from the side navigation bar and then select Invoices. Step 2: Select Create Invoice on the top right corner. Step 3: Select Commission Invoice from the dropdown. Step 4: In the pop-up form, select Gross Claim Invoice. Step 5: Select the client and application for which you are creating the Gross Claim Invoice. Step 6: Click on Create Invoice. Step 7: Select an invoice due date. Step 8: Add the invoice description in the Description field. Step 9: Add the total fee and commission percentage. The commission amount will be calculated automatically. Step 10: Select the tax code. Step 11: Add any discount amount given to the client. Step 12: If necessary, add notes in the Notes field and attach any relevant files. Step 13: Select the payment options. Step 14: Add payment details if the invoice is marked as paid. Step 15: Select a receiver in Income Sharing (Subagent or another branch) and input the amount and tax code. Step 16: Save and send the invoice, or save it to send later.

Net Claim Invoice is created when the full amount is paid to you, you keep the commission amount and send the remaining to your partner. Let’s now go through the process of creating and managing net commission invoices. Step 1: Select Accounts from the Side navigation bar and then select Invoices. Step 2: Select Create Invoice on the top right corner. Step 3: Select Commission Invoice from the dropdown. Step 4: In the pop-up form, select Net Claim Invoice. Step 5: Select the client and application for which you want to create the invoice. Step 6: Fill in the necessary details regarding the net commission. Step 7: Choose the invoice date and due date. Step 8: Fill the description for the commission and add the total fee. Step 9: The system will automatically calculate the commission amount based on the partner’s percentage. Note: The commission percentage can be set under the partner agreement section or manually added. Step 10: Select the tax code, and the system will calculate the tax amount and net amount. Note: Tax codes can be set from Account settings. Step 11: If a discount is given to the client, fill in the details under the Discount Given to Client section. Step 12: View the summary of the invoice on the right side. Step 13: Select the payment option to be included in the invoice. Note: This is based on the payment details added in account settings. Step 14: In the payment received section, mark the invoice as paid or enter a partial payment. Step 15: Use the income-sharing section to allocate the commission amount to another branch or sub-agent. Step 16: Once all details are added, click Save to finalize the invoice.
